This Privacy Policy explains how FuelDesk Technologies (“we”, “us”) collects, uses, shares and protects personal data in connection with FuelDesk (the “Service”) and our website. We process personal data in accordance with applicable Indian law, including the Information Technology Act, 2000 and the rules made under it, and the Digital Personal Data Protection Act, 2023 as and when its provisions come into force.
1. Our role
For data that our business customers (petrol pump owners) and their users enter into the Service — for example employee details, attendance, meter readings and credit customer records — the customer decides why and how that data is processed, and we process it on the customer’s behalf. For account, billing and website data described below, we decide how it is processed.
2. Data we collect
Account and business information
- Owner name, email address, mobile number and password (stored only as a one-way hash).
- Business and pump name, address, city, state, PIN code and GSTIN.
Operational data entered by customers
- Staff names, mobile numbers, roles and documents uploaded by the customer.
- Shift, meter reading, collection, stock, expense and credit customer records, including vehicle numbers.
- Attendance check-ins, which may include device location at the time of check-in where the customer enables GPS attendance.
Payment information
Subscription payments are processed by our payment gateway partner (currently PhonePe). We receive the transaction reference, amount, status and payment mode. We do not receive or store card numbers, UPI PINs or net banking credentials.
Website and usage data
- Information you submit through our contact form (name, email, phone, business details and message).
- Technical data such as IP address, browser type and log records needed to secure and operate the Service. We use essential cookies for sign-in sessions and security; we do not use advertising cookies.
3. How we use data
- To provide, maintain and secure the Service, including authentication and fraud prevention.
- To process subscriptions and payments and send service notices such as renewal reminders.
- To respond to enquiries and provide support.
- To comply with legal obligations, including tax and accounting requirements.
We do not sell personal data and do not use customer operational data for advertising.
4. Sharing
We share personal data only with service providers who help us run the Service (such as cloud hosting, email delivery and the payment gateway), under contractual confidentiality and security obligations; with authorities where required by law; or in connection with a merger or acquisition subject to equivalent protections.
5. Security
We use reasonable security practices, including encrypted connections, hashed passwords, role-based access controls, separation of each customer’s data, private storage for uploaded documents and audit logs of sensitive changes. No method of transmission or storage is completely secure, and customers are responsible for protecting their own login credentials.
6. Retention
We retain account and operational data for as long as the customer’s account is active and for a reasonable period afterwards to allow renewal or export, and longer where required by law (for example, billing records). Contact form submissions are retained for as long as needed to respond and follow up.
7. Your choices and rights
Subject to applicable law, you may request access to, correction of, or deletion of your personal data, and you may withdraw consent where processing is based on consent. Employees and customers of a petrol pump should first direct requests to that pump’s owner, who controls their data in the Service; we will assist the owner in responding.
8. Children
The Service is intended for businesses and is not directed at children. We do not knowingly collect personal data of children.
9. Changes
We may update this policy from time to time. Material changes will be notified through the Service or by email before they take effect.
10. Contact and grievance officer
For privacy questions or grievances, contact us through our contact page or at support@fueldesk.test. We aim to acknowledge grievances within 24 hours and resolve them within the period required by law. Postal address: Bengaluru, Karnataka, India.
